DocXange by YTBE

The people and tools behind your retail EDI.

We catch and fix EDI problems before the retailer sees them. DocXange is our managed service for brands that sell wholesale to major retailers: a team that knows your NetSuite, with tools that work against your EDI provider.

What it does

Watch. Fix. Trace.

People and scripts, working together on the part of EDI that usually goes wrong.

WatchWe keep an eye on the documents moving between the retailer, your EDI provider and NetSuite, so a problem is found when it happens, not when the retailer complains.
FixThe usual reason an order document fails is a missing entry in the item catalog. Our tool finds the gap, fills it and leaves a record. The same approach covers other issues as we teach it more.
TraceWhen a retailer rejects a document or sends a chargeback, we trace it to the document and the rule behind it, then fix the source.

How it works

A service with tools behind it.

DocXange is people first. The tooling makes them faster and more thorough.

How it works

How NetSuite EDI integration works.

A retailer sends a document, your EDI provider translates it, and NetSuite acts on it. Here is the usual path.

1The retailer sends a purchase order (850)It goes through your EDI provider, TrueCommerce, which translates it into a form NetSuite can use.
2NetSuite creates the sales orderThe order arrives in NetSuite as a sales order, with SKUs, prices and retailer-specific fields checked on the way in.
3Fulfillment sends the ship notice (856)When the order is fulfilled in NetSuite, the advance ship notice is generated and sent back through the provider.
4Billing sends the invoice (810)The invoice follows from NetSuite billing, in the format the retailer expects.

Common questions

Before you get in touch.

What is DocXange?

DocXange is our managed retail EDI service. A team that knows your NetSuite account works with tools built for the job to keep your EDI documents flowing between the retailer, your EDI provider and NetSuite, and to fix problems when they appear.

Is DocXange software or a service?

A service. People do the work, supported by tooling we built for it. You are not buying a platform to run yourself.

What kinds of problems does it find and fix?

The most common cause of a failed order document is a missing entry in the item catalog, so that is the tool's main job: find the gap, fill it and leave a record. It also helps with mapping issues, customization issues and retailer-specific rules.

Which EDI documents do you handle?

850 purchase orders, 860 PO change requests, 856 advance ship notices and 810 invoices, plus 943 and 944 ship and receipt advice from 3PL warehouses.

Which EDI provider do you work with?

TrueCommerce. We set up the mapping and translation rules and connect it to NetSuite.

Why one team for NetSuite and EDI?

When a document fails, nobody argues about whether it's a NetSuite issue or an EDI issue. We designed the NetSuite customizations that feed EDI, so one team finds and fixes it, with one point of contact and one invoice.

What does onboarding a new retailer involve?

One project and one timeline: mapping and translation rules for that retailer's requirements, and any NetSuite changes its documents need.

Do ASNs include carton labels?

Yes. The 856 is generated when the order is fulfilled in NetSuite, with carton-level detail (SSCC-18), pallet configuration and compliance labels.

How does EDI work with NetSuite?

A retailer sends a document such as a purchase order. Your EDI provider translates it and passes it to NetSuite, which creates the sales order. When you fulfill and bill the order, the ship notice and invoice go back the same way.

Do I need a separate EDI provider, or does NetSuite do EDI itself?

NetSuite does not translate EDI documents itself, so most companies use an EDI provider. We work with TrueCommerce and connect it to NetSuite.

What happens when a retailer rejects a document or sends a chargeback?

We trace the rejection or chargeback back to the document and the rule behind it, then fix the source so it is less likely to happen again. We do not promise a recovery rate.

Do you work with 3PL warehouses?

Yes. We handle 943 warehouse ship advice and 944 warehouse receipt advice, and what they mean for fulfillment and inventory in NetSuite.
